Recurring bookings

Most of your diary is the same every week. Type it once.

The regular round is what makes a pet-care business viable, and it is also the thing that makes diary admin so repetitive. Set the pattern when you take the client on, and the rest of the year fills itself in.

  • “Bella, every Tuesday and Thursday” — set once
  • Runs of dates for holiday cover: twice daily, for a fortnight
  • Change or cancel one occurrence without unpicking the rest
  • Every completed job becomes billable automatically

the schedule in week view — a day's walks and visits in time order, with the finished ones ticked
The problem

Without recurrence, an app is unusable by week two.

The first week of any new tool is fine, because you are typing in a fresh diary and it feels productive. The second week is when you realise you are typing the same eleven jobs again, and the third week is when you go back to the calendar you were using before. Recurring bookings are not a convenience feature; they are the thing that decides whether software survives contact with a real round.

The same eleven jobs

Every week, forever, until the client moves house.

Copy-paste is not a system

It drops things, it duplicates things, and it never carries the price.

And holiday cover is different

A fortnight of twice-daily visits is a run with an end date, not an endless weekly repeat.

the schedule in agenda view — the days ahead, already filled in by the recurring pattern
The pattern

Days of the week, or a run of dates.

  • Weekly patterns for the regular round — the walker’s bread and butter
  • Runs with a start and an end for holiday cover
  • Daily or twice-daily frequencies for sitting work
  • The service and the price carried on every occurrence
  • Group bookings that repeat, with the same dogs each time
  • Assigned to a walker, and staying assigned
the Today screen — three unanswered walk requests, a walk already running, three items waiting to send, one job running late, and the next pickup
The exceptions

One Tuesday off does not end the arrangement.

Real rounds have gaps: a week away, a dog at the vet, a bank holiday. Changing one occurrence should not mean rebuilding the pattern or, worse, deleting the lot and starting again.

  • Cancel or move a single occurrence
  • The owner is notified when you move their booking
  • A late cancellation from the client still records your fee
  • End the recurrence when the arrangement genuinely ends
  • Overlap warnings if a change collides with something else
£702 of unbilled work — 42 completed walks across 8 clients, each with an “Invoice this work” button
And then it bills itself

The month is already counted before you look at it.

The reason recurrence matters twice: every occurrence you complete carries its price and lands on the unbilled screen. A regular client’s monthly invoice is a run, not an arithmetic exercise.

  • Completed occurrences become invoice lines
  • Bulk month-end run across the whole book
  • Cancellation fees included alongside the work
  • Nothing to count, and nothing quietly missed

Straight about what it does not do

There is no drag-and-drop planner for shuffling a week around, no route optimisation, and no calendar sync with Google or Apple. Recurring patterns are set on the booking rather than through a rules editor with exceptions and holidays — a week off is handled by cancelling those occurrences.

FAQ

Questions walkers and sitters actually ask

Can bookings repeat?

Yes. Most of a round is "Bella, every Tuesday and Thursday", so recurring bookings are there from the start rather than bolted on. Day and week views show what is coming, and Today lists the round in the order you will do it.

Does it warn me about booking conflicts?

Yes, when you create a booking it shows what else is already out over that slot. They are warnings, never blocks — a walker who wants seven dogs out at once is not asking your software's permission.

Can I charge cancellation fees?

Yes. You set a notice period and a fee. A cancellation inside the notice period records the fee against the booking and it appears as billable work on the next invoice alongside the walks — otherwise a cancellation policy is just words on a page. Both defaults are deliberately gentle, so nobody is surprised by a charge you never set.

Can I assign work to staff?

Yes. Any booking can be assigned to a member of your business, and a restricted employee sees only what is assigned to them. Every walk also records who actually did it, so the owner's report can name them and you can answer "who did Tuesday?" from your own data.

Can I create monthly invoices?

Yes. At month end, run the whole book at once: every client with unbilled completed work gets an invoice built from that work, with the walks and visits as line items. You are not rebuilding the month from a calendar and a group chat.

Enter your regular week.

Then look at next month’s diary. That is the whole demonstration.
