Setting up
How do I get started?
Download CorePaw Pro from the App Store or Google Play, open it and sign up with the email address you want your business to run from. That address receives your invoice copies and your clients' replies, so use the one you actually work from rather than a personal one. Your 30-day trial starts when you sign up: every feature switched on, no card.
What do I set up first?
Your business, before anything else. Name, logo, address, invoice prefix and the next invoice number, payment terms, VAT number if you are registered, and your bank details or payment link. Everything else in the app hangs off the business record, so doing it first means nothing has to be redone later.
How do I carry on my existing invoice numbering?
Set your prefix and the next number in your invoice settings before you issue anything. The sequence then continues where your spreadsheet or old software left off instead of restarting at one. Do this before your first invoice — once a number has been issued the sequence cannot be rewound, because a VAT-registered business must not have gaps or duplicates in it.
How do I add my services and prices?
Build your own service list — 30-minute walk, hour walk, group walk, drop-in visit, whatever you actually sell — with your prices against each. Bookings then take their price from the service, so completed work arrives on the unbilled screen already priced and month end is a run rather than a rebuild.
Do I have to add every client before I start?
No, and we would rather you did not. Put in the round you do on Monday, work it for a day, then add the rest over a fortnight. Typing forty clients in one sitting is the single most common reason a good tool gets abandoned in week one. There is no import wizard yet — if you have a spreadsheet, send it to support@corepawpro.co.uk and we will tell you honestly whether we can help with it.
How does an owner connect their pet to me?
They share a specific pet with your business from CorePaw, the free owner app. Once you are connected they can add a second pet to the same relationship without a new code. If an owner has never heard of CorePaw, create the pet record yourself — when they sign up later, that record and its walk history are already waiting for them.
How do I add a partner or an employee?
Invite them to the business from your members screen and choose what they are: a partner has full access, an employee is restricted to the jobs assigned to them and the clients those jobs belong to, and can be kept out of invoices and prices entirely. With one walker the members screen simply says "just you" — nothing about teams is in your way until you need it.
What permissions will the app ask for, and why?
Location while in use and in the background, so a walk keeps recording with the phone in your pocket; notifications, so booking requests and reminders reach you; and camera and photo access when you first attach a photo to a walk. Location is the one that matters — granted only "while using the app", tracking stops the moment the screen locks.
Walks and visits
My walk stopped recording when the screen locked.
That is background location permission. On iOS, Settings → CorePaw Pro → Location must be "Always", not "While Using". On Android, set location access to "Allow all the time" and, on Samsung, Xiaomi, OnePlus and Huawei phones, also exempt CorePaw Pro from battery optimisation — those manufacturers kill background work aggressively and no app can opt itself out. Recording is designed to continue with the screen off; if it does not, one of those two settings is the cause almost every time.
The app was force-quit in the middle of a walk. Have I lost it?
No. Reopen the app and it offers to resume the walk, with what you had already logged intact. Everything you tap during a job is written to the phone before anything else happens, so a crash, a flat battery or a killed app does not take the record with it.
The distance looks too long or too short.
The route is filtered before it is measured: fixes vaguer than about 30 metres are ignored, and any leg implying an impossible speed is treated as a GPS spike and skipped. Where the route was too sparse to judge — deep countryside, tall buildings — the walk says so rather than quoting a confident wrong number. If a finished walk shows a distance you know is wrong, send us the walk date and the client and we will look at the raw trace.
I drove between two stops and it went on the route.
Pause the walk when you stop and resume when you set off again. Paused time is not counted in the duration and the paused stretch is not counted in the distance, so the client is not handed a two-mile walk you did in a van.
How do I record a walk that was never booked?
Start it from the pet rather than from the schedule. The work is still recorded and still billable — it is flagged as needing a price and waits on the unbilled screen until you set one. It is never quietly billed at zero and never quietly lost.
I had no signal for the whole round. What happens?
Nothing stops. Every tap is written to the phone first and reported as done, because it is done, and the queue empties itself oldest-first when you come back into range — so a photo never arrives before the walk it belongs to. Today will show items waiting to send; leave the app installed and connected for a moment and they go. The one exception is creating an invoice, which needs a connection and says so.
I took three dogs out together. Did I have to start three walks?
No. Pick the dogs at the start and the outing is recorded as one walk for each of them, sharing a group. You can log a water break, a wee or a treat for one dog or for all of them at once, and each owner gets their own report about their own dog.
A cat sit has no route. Am I using the wrong thing?
No — a drop-in visit is a job in its own right. Arrive, log the feed, the litter, the water, the medication, a photo and a note, finish. There is no route to record and nothing pretends there was one, and the owner still gets a written report.
Reports and owners
A client says they never got their report.
Open the walk. Every report carries its delivery state — sent, failed, or no email address on file — and a resend button. If it says no email address, add one to the client record and resend. If it says failed, resend once; if it fails again, send us the walk and we will trace it at our end. A report that silently never sent is the one problem we most wanted to make visible, so the state is always on the record rather than assumed.
Can I edit the wording of a report before it goes?
The wording is generated from the events you logged and nothing else — the model is given counts and timestamps, never a photo and never room to speculate, and it may not diagnose or reassure. If a report reads wrongly, it is almost always because an event was logged against the wrong dog or the wrong time. Tell us which report and we will look at what it was built from.
The owner did not get the pickup or drop-off notification.
Those are push notifications to the owner's CorePaw app, so they depend on the owner's phone, not yours. Ask them to check notifications are allowed for CorePaw and that they are signed in on the device they expect them on. If collection and return are showing as tapped on your side, the record is correct regardless and the report will carry both timestamps.
Why can I not see a pet's allergies or medication?
Because the owner has not shared that area with you. Health details are separate from handling notes and only appear if the owner grants them. Where something has not been shared, the app shows a locked card saying so — never an empty list, because an empty allergy list read as "no allergies" is the most dangerous thing this app could show you. Ask the owner to share it from CorePaw.
Can I correct something in an owner's health record?
No. You add what you did — a dose given, a note, a photo, a walk — as new entries attributed to you. You cannot rewrite or erase the history an owner keeps about their own animal, and neither can anyone else in your business. If something you added is wrong, add the correction; the history stays honest.
A message I sent a client has not been answered — did it send?
Messaging is one thread per client and it belongs to the business, not to whichever phone answered, so either you or a partner can open the thread and see whether it was answered. A broadcast — "snow tomorrow, no walks" — goes to everyone at once and replies come back into each client's own thread rather than one pile.
Bookings and scheduling
How do I set up work that repeats every week?
Create the booking and set the recurrence — "every Tuesday and Thursday" — once, and the rest of the year is in the diary. Most of a round is recurring, so this is worth doing on day one rather than adding one-offs forever.
A client asked for a different time. Do I have to cancel and rebook?
No. When an owner requests a job you can accept, decline, or propose a different time, which bounces back for them to confirm. Either side can cancel afterwards.
It warned me about a clash but let me book anyway.
That is deliberate. When you create a booking the app shows what else is already out over that slot, as a warning and never a block — a walker who wants seven dogs out at once is not asking their software's permission.
A client cancelled late. How do I charge for it?
Set your notice period and fee in your settings first. A cancellation inside that period then records the fee against the booking and it appears as billable work on the next invoice alongside the walks. The defaults are deliberately gentle, so nobody is charged under a policy you never set.
An employee cannot see a job I assigned them.
Check the booking is assigned to them specifically, and that they have accepted the invitation to your business. A restricted employee sees only the jobs assigned to them and the clients those jobs belong to — that limit is enforced in the database, not by hiding buttons, so it cannot be worked around from the app either.
Invoices and billing
Invoicing says it needs a connection.
It does, and that is the one part of the app that cannot work offline. Invoice numbers are issued centrally and in order so two devices invoicing at the same moment cannot produce the same number or skip one. Recording work never needs signal; issuing an invoice does.
A completed walk is not showing on the invoice.
Check the unbilled screen. Work that had no price — usually a walk started from the pet rather than a booking — waits there flagged as needing a price and is not billed until you set one. Once priced it joins the next run.
How do I invoice something the app never saw?
Create a manual invoice — a nail trim, a bag of food, a key cutting fee, or work you did before you installed anything. It takes a number from the same sequence, so billing outside the app does not leave a gap in your numbering.
VAT is not appearing on my invoices.
Set your VAT number and rate in your invoice settings. With them blank, nothing about VAT appears at all — that is the correct behaviour for a business that is not registered. Your UTR, address, logo, payment terms and invoice footer work the same way: shown when filled in, absent when not.
I changed my currency and want to know what happened to old invoices.
Nothing. The currency is stamped onto each invoice when it is issued, so changing yours later never rewrites what a past invoice claims to have charged.
Can the app chase people who have not paid?
Yes, if you switch reminders on — they are off by default. Nothing is sent before the due date, then at most three polite reminders at least a week apart, and then it stops and leaves it to you. Chasing someone nightly is how a walker loses a client and their neighbour.
I added a walker and it says my billing needs putting right.
Plans are bands: Solo covers one walker, Team up to four, Business up to ten, including you. Go over your band and nothing switches off and nobody stops working — the app tells you the billing needs correcting. Above ten walkers there is no plan yet, so talk to us rather than guessing.
Account and devices
I am not getting notifications at all.
Tell us three things and we can usually diagnose it in one reply: your phone and OS version, whether notifications are allowed for CorePaw Pro in your phone settings, and — this is the one people leave out — whether the app was open, backgrounded or fully closed when the notification should have arrived. For notification problems that last detail is most of the diagnosis.
Can I use the app on two devices?
Yes — sign in on both with the same account and your business, clients and bookings are there on each. Do not run a live walk on two phones at once for the same job, though: two devices recording the same walk produce two records, and only one of them is the one you meant.
How do I change my email address or password?
From your account settings in the app. If you are locked out of the address itself and cannot receive the confirmation, email support@corepawpro.co.uk from any address and tell us the old one — we will verify it another way rather than leaving you stranded.
What happens to my data if I stop subscribing?
Your business, clients, bookings, walks and invoices are not deleted. Owners keep every walk and report in CorePaw regardless, because that history is theirs. If you decide to leave entirely you can delete your account and its data outright.
How do I delete my account?
From inside the app, or by asking us — there is a route that does not require the app to be installed. It removes your account and its data rather than merely hiding it. The delete-account page sets out exactly what is removed and what is kept for tax purposes.
How do I report a bug or ask for a feature?
Use the form on this page, or email support@corepawpro.co.uk directly. For a bug, the useful details are: what you tapped, what you expected, what happened, and whether you had signal. For a feature, just say what you were trying to do — the order things get built in is genuinely set by what people ask for, and it is one person building it, so your message is read by someone who can change the app.
